Customizable Archive Homepage

Released: November 2023
Enhance your archive with a new, customizable homepage that reflects the unique needs of your organization. This update contains over twenty new features that allow archive owners to customize their archive appearance, foster accessibility and engagement, discover archive facts and statistics, create custom posts, and highlight records and collections. To access these features, go to Manage Archives via the archive settings cog, and select the Homepage tab.

Customize Your Look

  • Choose from sixteen archive theme colors
  • Add your own logo and cover image
  • Hide Kindex branding

Enhance Accessibility

  • Access the archive search bar from your Homepage
  • “Login or Request Access” button streamlines user requests to collaborate in Private Archives
  • Guests (users without a Kindex account) may now search and enter Public Archives without requiring user login

View Archive Statistics At-a-Glance

  • View total number of records, including separate totals for different record types (documents, volumes, images, audio, video)
  • Check on indexing progress in the percentage of transcribed records
  • Discover recent collaborator activity including transcriber leaderboard

Drive Engagement to Specific Records and Collections

  • Use the “Transcribe records from this Featured Collection” section to highlight a records that are transcription priorities
  • Use the  “Featured Record” section to show off a specific record that has been transcribed

Create Custom Announcements and Content

Use our new Post feature to show up to three, custom posts on your homepage. Use this tool to post special announcements, highlight archive progress, or share messages to your archive Guests and Collaborators.

Archive Entities

Kindex can now use completed transcriptions to generate custom lists of “entities” from your archive. These entity lists offer a unique snapshot of your archive, foster interest in your collections, and enhance the discoverability of your archive.

  • Archive owners can choose to show all, some, or none of the entity lists.
  • Entities include: Persons, Places, Dates, Events, and Subjects (custom entity of your own creation).
  • Individual entities are linked to their source records so that users may review the entity source.
  • Both Public and Private Archives may use the entity feature; archive access remains subject to permissions defined in Guest and Collaborator roles.

Bulk Folder Uploads

Released: November 2023
Save time in organizing and uploading your archive collections with our new bulk folder upload feature. This tool allows Archive Owners to duplicate the file organization that exists on their computers within their archive. To use this feature, contact Kindex and we can help you create your “instant archive.”

Expanded Record Types and Sizes

Released: January 2024
Kindex now accepts video uploads (.mp4 format) and now allows uploads up to 100MB in file size (pdf, jpg, png, mp3, mp4)

Auto-Index Service

Released: October 2024
The Kindex Auto-Index Service (“AIS”) is a cutting-edge tool that automatically generates transcriptions and descriptions from records containing handwritten text, typed text, audio files, and images.

  • AIS is available to both Archive Owners and Collaborators.
  • Pricing for AIS is calculated within the tool prior to user approval.
  • Users may use the AIS tool to transcribe individual records, multiple records, complete collections, or an entire archive. 
  • Users receive a log of AIS data in a new tab within the Record Info modal.
  • Auto-Index “Order History” available in your profile, with emailed receipts of your purchase
  • Note: AIS cannot yet transcribe imported FamilySearch Memories

UI/UX upgrades: Gather Screen

  • “Rotate” button added (PDF files and FamilySearch Memories cannot be rotated)
  • In the Collections Directory, your topmost selected collection scoots to the top Sort records by selecting the tab of their Indexed status:
    • Incomplete (no indexing applied)
    • Auto-Indexed (indexing was applied automatically and needs human review/edits)
    • In Progress (human-edited but incomplete)
    • Complete (marked “complete” by a human)
  • Thumbnail number may be presentable in batches of 50, 100, 200, 500, and “All”
  • Improved file uploader and file management, including:
    • Natural sort vs. lexicographic sort (which matches the file structure on your computer)
    • Kindex’s new “Transfer log” enables you to view which files failed uploading into Kindex, and why.
  • .mp4 audio files now accepted (audio files recorded from Android/Apple devices), and .mpg (video) files

UI/UX upgrades: Search Results

  • Search results are now separated into three categories:
    • Transcription hits
    • Metadata hits
    • Properties hits
  • “Exact Match” hits within a Transcription revealed as bold, purple text
  • “Loose Match” hits within a Transcription repealed as bold, gray text
  • Search results are now numbered for improved referencing, and presentable in batches of 50, 100, 200, 500, and “All”
