Here’s what we’ve been up to this summer to improve your Kindex experience.

 

New Support Pages Now Available

New Kindex Features

Archive Deactivation. Archive owners may now deactivate their archives by downgrading to a Kindexer plan. When a user downgrades to Kindexer, their archive is inactive and unavailable to the archive owner and its collaborators. The archive can be reactivated by changing the user plan to a Closet or Cloud Archive plan. After the upgrade to Cloud or Closet, archive access is restored. Learn more.

Account Migration to new Plans. Kindex Account migration is currently underway. All “Freemium” users will now see a popup after login that directs them to update their archive plan. Users must update to Kindexer, Cloud, or Closet Plans by July 31, 2018.

Software Changes

  1. Kindexers invited to collaborate on other archives will be directed to the archive they are collaborating in after login. Previous behavior directed collaborators to the Featured Archives page after login.
  2. Changes in transcription status (in progress or complete) will now activate the Save button to ensure changes to record transcription status will be saved.
  3. New user support for account downgrades (Freemium, Cloud, or Closet downgrading to Kindexer), including new instructions for account downgrades, account change email confirmations, and instructions for archive reactivation.
  4. New user support for account cancellations, including new instructions for account cancellations, account cancellation email confirmation, and guidelines for account reactivation.

Bug Fixes

  1. Fixed a bug that prevented users from accessing Manage Archive tool
  2. Fixed a bug that prevented users from earning appropriate Kindex Rewards credit.
  3. Fixed a bug that temporarily prevented access to transcription page.
  4. Fixed a bug that prevented archive owners from removing collaborators
  5. Fixed a bug that errantly asked paying users to provide another method of payment.

Tagging Features. We will be making some enhancements to our tagging features, including person list editing and tagging. In order to implement these updates, we will be temporarily removing access to our tagging tool beginning on August 1, 2018, and restored as soon as the features are up and running.

Record Uploads. A small number of users have experienced errors when uploading large batches of records. This can occur when a user navigates away from their Kindex screen during the upload process. Users can avoid this issue by staying on the same screen during record uploads. We will advise when this bug is fixed.

It’s been a busy spring at Kindex! Here’s what we’ve been up to.

 

New Help Guides Now Available

New Kindex Archive Plans

This spring we officially released new archive plans for Kindex. Learn more about our new Cloud and Closet plans.

NoteIf you signed up for a “Unlimited + Collaborative” Kindex archive before February 28, 2018, there is no need to update your archive plan until your subscription renews. On or near your renewal date, owners with private archives will be updated to the Closet Archive plan, and owners with public archives will be updated to the Cloud Archive plan. 

Kindex Rewards

We released a new Rewards program to as a great incentive you keep indexing and reaching your goal of a searchable archive. Have you earned your reward this month? For every 20 records indexed in your Kindex archive, you’ll get a $5 credit toward your next month’s subscription. Rewards apply to Cloud and Closet archive owners only. Learn more about Kindex Rewards.

Software Notes

Please note the following information regarding Kindex software:

Saving Transcription Status. In order to ensure your transcription status is saved, please save your work after changing indexing from “in progress” to “Complete”. It may be necessary, make a small edit (or add a space) in your transcription to activate the Save button. We will be updating this feature to ensure that the change in transcription status is auto-saved.

Solving Archival Challenges for the Mormon Battalion Association

Kindex co-founder Kimball Clark and Laura Anderson, Senior Historian at the Church History Library, will present “Crowdsourcing Your History: Collaborative Archives for Families, Groups, and Societies”  at the RootsTech Demo Theater on Thursday, March 1 at 10:20 a.m. We recently asked Laura Anderson, Senior Historian at the Church History Library, to share how she uses Kindex to make Mormon Battalion Association records more accessible and engaging. We thank her for sharing her thoughts with us below.


Two days before volunteers left to serve in the Mormon Battalion, LDS Church President Brigham Young said their “lives should be spared and [their] expedition result in great good, and [their] names be handed down in honorable remembrance to all generations.”1

In order for that to happen, we need to know all about their stories. We needed to tell not only their stories, but the stories of their families. With 500 men and about 2,000 people total, that’s a lot of research. I knew that researching one at a time would not work, so we needed to create a searchable archive from the thousands of records we have related to the Mormon Battalion. I’ve had people transcribe for me in the past, but it was very time-consuming to keep track of it all, and difficult to avoid the duplication of work.  I wanted a way to transcribe and search al the documents on a central platform. 

At Rootstech 2017 I found Kindex, and it was just the solution I needed: a collaborative indexing platform where I could gather and organize the Mormon Battalion records. I began adding records, transcribing, and inviting others to help. As we progressed in transcribing the archive, Kindex listened to my feedback and were even willing to prioritize software features that I needed.  With Kindex I can track our collaborators and the progress we make on indexing. 

In addition to solving the transcription challenges, Kindex also makes it easy for anyone to access and search the archive. Before Kindex, the records scattered in various places so they were difficult for the average person to discover. Now, we have all the records accessible in a central archive that is getting more searchable every day. Through this archive, Kindex is helping me keep that promise to keep their lives in “honorable remembrance”.

We are excited to announce the release of a major update to Kindex archival software, with several new features that will make creating your searchable family archive faster and easier.  We’ve maximized space, improved archive organization, and enhanced record navigation and transcription. Organize & Browse Your Archive

  • Enjoy an expanded viewing area for your records
  • Access tools to add, filter, move, and delete records
  • Click a record to view or edit (add a transcription, description, or metadata). Note removal of “Transcribe” on record thumbnail. Purple checkmarks indicate indexing is complete.
  • View All Records or Indexed Records
  • View your archive record total and indexing progress

Manage Your Collections

  • View Collection record totals
  • Organize your Collections by using Sub-Collections
  • Use collections to filter your record views or search
  • Hover over record number to edit or move Collections

View & Transcribe Records

Navigate your Archive

  • When a record is open, you can view and edit records consecutively with new new navigation buttons above the record
  • The same navigation buttons appear below,  along with a Save button
  • A button under the transcription shows indexing progress as Complete or In Progress. When a transcription is done, click the “Read it!” link to read the completed transcription

Announcing New Download Tools for Archive Owners

It’s your archive—use what’s in it! Just-released software updates make it easier than ever to access, save, and utilize your archive data and source records. Kindex archive owners can now:

  • Download archive data as XLS (Microsoft Excel Spreadsheet)
  • Download archive data as CSV (Comma-Separated Values)
  • Download archive records as ZIP (Compressed Archive File)

When you download archive data, your archive and record data is saved to a separate XLS or CSV file, including:

  • Archive Info: Your archive name and subdomain
  • Record Info: Metadata, including File Name (linked to source on Kindex), Collection, Title, Person, Description, Keywords, Provenance, Date, Place
  • Record Transcription
  • Tags (markup within transcription)

When you download archive records, you get a ZIP file of:

  • All records you contributed to your Kindex archive
  • All records Collaborators have contributed to your archive
  • All records shared to your archive from FamilySearch

How do I Get Started?

  1. Log in to your Kindex archive
    login
  2. Click the green cog cog  (upper right corner) to open Manage Archive
    Select the Tools tab and choose your download.

  3. To download your archive data, choose either XLS or CSV and the file will save directly to your download folder.
  4. To download your archive records, choose the ZIP option. The ZIP file is accessed through an email link you will be sent once your archive is ready to download.zip
  5. When you receive the email, click the Download Now button and the ZIP file will be saved to your download folder.
    ready2Note: You can only download archive data or records if you are the archive owner. Archive owners may download records and data as often as they wish.

Which Data Download Should I Choose?

When you download your archive data, you can choose to save as an XLS (Microsoft Excel Spreadsheet) or a CSV (Comma-Separated Values). Which should you choose? That depends on how you want to use your data.When you download your archive data as an XLS file, you can view it in a spreadsheet format.

Looks like some records in my Art Collection are missing some metadata!

When you download your archive data as a CSV, your data is saved as plain text in a series of values (cells) separated by commas (,) in a series of lines (rows). This format offers flexibility when importing into other spreadsheet formats or databases.

How Can I Use my Data Download?

  • View archive data side-by-side in a spreadsheet and see at a glance what fields are missing or incomplete. For example, in the XLS spreadsheet example above, it appears that several records in the Art collection are Record Info, including Descriptions, Keywords, and Place. I can now add that information exactly where it needs to be.
  • Import your archive data into another database. If you are a family organization, genealogy society, or historical society, this data can be a very useful addition to your existing database.
  • Use your data to create digital or paper publications. When you copy or export transcriptions from your spreadsheet download (with accompanying markup), you can apply styles and formats to create new publications, like a book of primary source transcriptions. In the example below, I pasted some transcription text into a basic HTML template.

Note: Markup (paragraph tags, line breaks, etc.) are retained in data exports. Markup is helpful when you want to retain the original structure of the transcription as well as apply formatting in a new program.
